Why Verified Equipment Suppliers Matter for Your Project

An unverified yard is a risk you can see. The one that costs more is the quote whose scope nobody checked.

Operations run on predictability. A programme is mapped to the day, and a machine that arrives late pushes everything behind it. Booking through a classifieds site or a WhatsApp group leaves you with nothing when that happens: no company you can name, no record that follows the supplier, and nothing in writing about what was agreed.

But the failure that shows up more often is quieter. The machine arrives on time, and half of what you assumed was included turns out to be charged separately.

In short

  • Verification is a check on papers, not machines: commercial registration, VAT, national address, and ownership or lease documents. Two to three working days.
  • The expensive surprise is usually scope, not fraud. 85% of Riyadh quotes for a 20-tonne excavator include an operator; at 30 tonnes only 36% do.
  • Transport is charged both ways, from around 1,000 SAR on an excavator to 15,500 on a 250-tonne crane.
  • Five written questions are enough to make any two quotes comparable.

What verification covers

The checks themselves

A verified account on Moedatech means the company behind it has had its papers reviewed: commercial registration, VAT registration, national address, and ownership or lease documents for the machines it lists. A decision takes two to three working days, and the status can be withdrawn if the papers lapse.

What it deliberately does not cover

It is a statement about paperwork on a date. It is not a safety inspection, not a credit check, and not a recommendation: the boundary is set out in full on the compliance page. Read it as "this is a real company and these machines are theirs", which is exactly what you want to know before a stranger sends a 20-tonne machine to your site. It is the floor of the decision, not the whole of it.

"Verification answers one question: is this a real company, and are these machines theirs? Everything else (the operator, the transport, the fuel, the off-hire date) is still yours to put in writing."

Where two quotes stop being comparable

Two yards quoting "a 20-tonne excavator for one month" are often quoting two different deals, and the difference is rarely stated. Whether an operator comes with the machine varies by size even inside the same machine class:

So the cheaper number on your desk is frequently the one that left the operator out. Nothing dishonest has happened: the two suppliers answered two different questions, because they were asked two different questions.

Transport is a line item, not a rounding error

Mobilisation is quoted separately and charged again when the machine goes back. The median one-way figure in our data:

On a short hire that is not a detail. It can be a fifth of the bill, and it appears twice.

What to settle before the machine moves

  1. Identity. Ask for the commercial registration and VAT number, and check the name matches the company that sent the quote.
  2. Ownership. Ask who owns the machine: the yard itself, or somebody the yard is re-hiring from.
  3. Operator. Ask in writing whether the price includes one, and who pays for overtime beyond the standard shift.
  4. Transport. Ask what mobilisation and demobilisation cost, both ways.
  5. Off-hire. Ask who confirms the end date, and from when the machine stops being charged.

None of this is about distrust. It is about asking every supplier the same question, so the answers can be laid side by side. Write those five points into the request once and the comparison makes itself.
